Getting Started in 4 Simple Steps

1 Open the app and set up your facility Go to foodsafetylogger.com/app.html. The first time you open it, you’ll enter your facility name and add your team members (first name + last initial). This takes about 2 minutes and only happens once.
2 Add it to your home screen On iPhone: Safari → Share button → “Add to Home Screen.” On Android: Chrome → three-dot menu → “Add to Home Screen.” It will appear as a real app icon. Tap it any time to open without a browser address bar.
3 Pick your name and start logging On the home screen, tap your name, then enter any 4-digit PIN to identify yourself. This is not a password — it just tells the app who’s logging. Then tap any module to begin your shift records.
4 Set your Manager PIN In Settings → Manager PIN, set a 4-digit code that only managers know. This locks submitted records — any correction or void requires the PIN plus a reason, creating a complete audit trail automatically.

Your Staff List — Change the Names Any Time

The names on the “Who’s logging today?” screen are your staff list — and it’s fully editable, right from that screen. If you see sample names (Maria R., Carlos M., Ana T., Jose L.), those are placeholders that ship with the app: replace them with your real team.

Rename someoneTap Manage staff on the login screen, type over any name, then tap Done.
Add someoneTap Manage staff+ Add employee. A new row appears — type the name, then tap Done. There is no limit on how many people you can add.
Remove someoneTap Manage staff, tap the × next to the name, confirm, then tap Done. The list always keeps at least one name.
Tip: use first name + last initial (like “Maria R.”) so exported records stay readable. Like your records, the staff list is saved on the device you edit it on — set up each device’s list once and it stays.

Your Logging Modules & Tools — What Each One Does

Each module is purpose-built for one daily task. Tap it, fill it in, save — record is locked and logged.

📄
PDF Audit Export
One tap generates a complete audit packet — all modules, all date ranges, all correction history — ready for an inspector.

Bilingual EN / ES — How It Works

One tap switches the whole interface. There are no separate accounts or app versions. Tap EN or ES on any screen — the entire app switches language instantly, including all buttons, prompts, and reason chips. Each worker can use whichever language they prefer.

Plain factory-floor language is used throughout — not regulatory jargon. Examples:

EnglishEspañol
Temperature logsRegistro de temperatura
PASS — Tap to savePasa — Toque para guardar
Daily checklistLista diaria
Corrective actionReporte de problema
Export audit reportExportar registros

Manager PIN & Record Lock — What Managers Need to Know

Once a record is submitted it locks immediately. Floor workers cannot edit or delete it. Only a manager with the PIN can make a correction — and every correction is logged automatically.

WhoWhat they do
Floor workerFills out the form → taps Save → record locks. Nothing else required.
ManagerIf a record has an error: tap Edit or Void → enter Manager PIN → type a reason → done. Original value, correction, reason, name, and timestamp are all saved.
InspectorThe PDF export shows every record including corrections, voids, and the full reason history. Nothing is deleted — everything is traceable.
Important — set your Manager PIN before your first shift. Go to Settings → Manager PIN and set a 4-digit code only managers know. Without it, submitted records cannot be corrected by anyone.

Works Offline — And How to Protect Your Records

No Wi-Fi? No problem. Open the app once while connected. After that, all modules work fully without internet. Records save directly to the device — nothing is sent to any server or cloud.
Each device keeps its own records. Records do not sync between devices automatically. If multiple tablets are in use, each has its own independent record set. Download a backup after each shift as your permanent record.
Rule of thumb — one device = one clipboard. Your $999 purchase licenses your whole facility — unlimited devices — but each device is set up on its own and unlocks once with your access code. Decide which device is the “record of truth” for your logs (for example, the kitchen tablet), and download a backup from it regularly — the backup file is your complete record history in one file.

Installing on Each Device (Recommended)

DeviceBrowserHow to install
iPhone / iPad Safari only
(Chrome on iPhone cannot install)
Open app.html → tap Share button (box with arrow) → scroll down → “Add to Home Screen” → tap Add
Android Chrome (recommended) Open app.html → tap three-dot menu (⋮) → “Add to Home Screen” → tap Add
Mac (MacBook, iMac) Safari or Chrome Open app.html and bookmark it (Cmd‑D). In Safari you can also choose File → Add to Dock so it opens like an app. In Chrome: three-dot menu (⋮) → Cast, Save & Share → Install page as app
Windows PC / laptop Chrome or Edge Open app.html, then click the install icon in the address bar, or three-dot menu (⋮) → Apps → Install this site as an app. It then opens in its own window like desktop software
Any other device Any modern browser Bookmark foodsafetylogger.com/app.html for easy return access

Once installed, the app opens full-screen with no browser address bar — just like a native app. Tap the icon on your home screen any time.

You don’t have to install it. Home-screen icons are optional — they just make the app quicker to reach. At minimum, bookmark foodsafetylogger.com/app.html on each device so it’s always one tap away. Remember: whatever you enter stays on that device.

Quick Fix Reference

If you see this…Try this first
App not loading or blank screenHard refresh: Cmd+Shift+R (Mac) or Ctrl+Shift+R (PC). On iPhone Safari: close and reopen Safari.
Records not showing upMake sure you are on the same browser and device where you created them. Records are stored locally per browser.
Switched to a new deviceDownload a backup on the old device (Settings → Download backup), then upload it on the new device (Settings → Restore backup).
Forgot Manager PINThe Manager PIN cannot be recovered — it is hashed for security. Use Settings → Reset this device to start fresh (this does not wipe records — only facility setup). Then set a new PIN.
iPhone camera not workingPhoto capture is not available in this version. Use the Observation chips to note issues instead.
PDF export looks blank or cut offUse Chrome or Edge for best export results. On iPhone, use the Share → Print → Save as PDF flow in Safari.
